TERMS + CONDITIONS

The venue is not available for hire for 16th or 18th birthday functions.

21st birthday functions special conditions apply such as an acceptable ratio of parents, guests list and security staff at hirer’s cost required.

Failure to correctly disclose the type of function will result in loss of security deposit and immediate termination of function with no reimbursement to the hirer.

All prices are inclusive of GST.

Minimum spend combining room hire, staff, food and drinks applicable to all functions bookings. Minimum spend amounts are determined by the day of the week and time of the year the function is held.

Food is a required component of any function where alcohol is served. To comply with responsible service of alcohol, food is required as a component of all functions.  Food must be available to guests whilst alcohol is being served.

All arrangements and changes must be in writing (email), phone requests or changes will need to be confirmed by email, unless it is in an email it is not confirmed.

 

Note: Food and alcohol prices are subject to the pricing at the time the function is held not at the time of booking. Final menu selection should be confirmed closer to the function date to take into account correct pricing and menu options available for your function.

Deposit

$2000 non refundable deposit required to confirm booking along with a signed booking contract. Deposits can be made via EFT, cash or credit card (1.5% credit surcharge applies to all credit card transactions. Diners not accepted).

Please note that in the event of a cancellation the $2000 deposit will be lost. Once your deposit has been accepted other inquiries for that time frame are declined.  Deposits will not be refunded under any circumstances.  See also Pandemic and Acts of God clause.

 

PANDEMIC and ACTS OF GOD clause: If the NSW or Federal government puts into place bans which prevent the function from proceeding on the booked date. The Founders Room agree to postpone your event to a new date, agreeable to both the client and The Founders Room.  If the client does not wish to proceed with the event in the future due to government bans preventing the event from going ahead on the booked date, the Founders Room agree to allow the client to use the deposit on a Sunday.

However, if postponement occurs within 24 hours of the event, the client be charged 100% of the invoice, less the bar tab, to cover loss of business, food and staffing costs incurred by The Founders Room.  Please note that restrictions such as, but not limited to a ban on dancing or border closures, may limit the event but does not prevent the event from proceeding and postponement or cancellation in this circumstance will result in the loss of the full deposit. 

 Included in room hire rate:

·         5 hour room hire. Additional hours are charged at $300 per hour including staff (based on up to 150 people)

·         All prices are inclusive of GST

·         Venue cleaning

·         Bar staff.

·         bump in and bump out times

·         Use of the entire area including outside balcony area.

·         Use of all existing furniture including outside furniture

·         The built in PA and sound system, projector and cordless microphone (2)

·         Room setup

Not included in room hire rates:

·         Drinks

·         Food

·         Food  staff

·         Specialty bar staff ie cocktail waiter etc

·         Decorations


Bar

The Founders Room is fully licensed therefore liquor cannot be brought onto the premises.
BYO is NOT permitted under any circumstances.
4.5 hour drinks packages are available.
A bar tab or dry till can be operated to an amount set by you which will be payable at the end of the function by EFT, credit card (1.5%) or cash.

Drinks can also be purchased by guests at the bar

Entertainment

DJ’s and musicians are allowed at the hirer’s costs. Hired entertainment must adhere to the directions of the bar manager in relation to any noise complaints made by members of the public. Musicians etc to be setup inside and not on the balcony area for evening events.

Payment and Important dates (unless stated otherwise in booking contract)

·         Time of booking $2000 deposit to confirm booking (Non-refundable)

·         1 month prior to function final numbers and payment of balance.  After this time numbers can rise within reason and invoiced separately.

·         Within 7 days after the function date, any additional charges, including the bar tab, extra time, extra linen, etc must be paid in full.

Pack up must be completed within 60 minutes of the function ending. It is your responsibility to ensure all props, decorations and equipment are removed immediately after the function.
Candles are not permitted inside the lounge area unless the glass encasement is higher than the flame.
Confetti or confetti like table decorations cannot be used.

Guests are not permitted to affix anything to the walls, glass or furniture ie. No sticky tape or blue tac etc.

Guests are not permitted to operate the audio equipment. Please speak with the Function Supervisor on the night for assistance.

Catering at the Founders Room is supplied by Feast Caterers, various catering options are offered. See www.feastcaterers.com.au for further information.

No food other than a celebration cake is permitted to be brought onto the premises

Property damage

Any damages caused to the Founders room by the hirer, their guests, entertainers, decorators or contractors is the responsibility of the hirer

The hirer will be required to pay for repair of replacement of said property.

Details of all contractors being used for your event is required 7 days prior to the function. Ensure contractors are aware of bump in and bump out times. All equipment must be removed from the premises at the completion of the function.

Smoking

Smoking is not permitted on the premises or balcony area of our venue. This will be strictly enforced. Any person wishing to smoke can do so in the public area outside the club but by law are required to be at least 4 metres from any pedestrian access or entrance to a licensed premise.

Alcohol and Conduct of Patrons

The Founders Room abide by State Government regulation concerning the responsible service of alcohol. See full terms and conditions, but unruly or illegal behaviour will not be tolerated, management may refuse service or entry to any person who behaviour is deemed to be inappropriate or illegal.

This also includes guests or the client bringing in unauthorised alcohol or food onto the premises without written permission by the licensee.

No compensation will be afforded to the hirer for persons refused entry or service under these circumstances.

It is your responsibility to ensure orderly conduct of your guests, especially when leaving the premises at night.

Management reserves the right to call police and/or terminate the function, without refund of any monies, should such behaviour present a problem to guests, staff or neighbours.  

GST

All pricing shown are inclusive of GST.

Credit card payments are accepted however there is a 1.5% surcharge.
